As an organization grows, managing leaves and attendance administration quickly becomes a complex HR task. Different leave types, home office rules, overtime, compensatory time off, public holidays, timesheets – all of these are often managed in multiple systems, Excels, or manually. How can leave and hybrid work management be made transparent and error-free without administration consuming the team’s time? Our goal was to create an HR system that automates leave and attendance management, follows the labor code as well as the company’s unique regulatory logic, and directly supports payroll.

The starting situation: manual administration and parallel systems

At many companies, leave requests and home office coordination still operate in silos:

  • Requests arrive via emails, chat messages, or on paper.
  • Managers have no real-time view of what percentage of the team is available on a given day.
  • Tracking hybrid work (home office) and enforcing quota limits is manual, which carries a high risk of error.
  • The HR team spends valuable hours at the end of the month consolidating data for payroll.

The solution: a modular HR system based on labor law logic

The goal was not just a simple “leave request app”: based on Mendix low-code technology, we built an HR hub that tracks Hungarian labor law regulations and handles the company’s unique rule system. Thus, the platform automates calculations and reduces the possibility of error. The system covers three main areas:

1. Labor code-based leave management: The system implements the logic of Hungarian labor law regulations:

  • calculation of base leave
  • extra leave based on age
  • extra leave for children
  • other types of extra leave
  • sick leave (management of the annual 15 days)
  • management of leave carried over from the previous year
  • coverage of various absence types

Result: HR does not need to calculate manually; the system calculates consistently and according to regulations.

2. Management of unique home office rules: The system is also capable of handling the unique logic related to hybrid work for individual organizations. For example: a maximum of one home office day can be requested per week, it cannot fall on consecutive days or specific days, etc. In case of a rule violation, the system sends a warning, which can be overridden with the appropriate authorization.

Result: HR only needs to focus on establishing the rules; the system automatically ensures compliance while allowing for the handling of exceptions.

3. Integration of working hours and overtime management: The system can be integrated with existing project and time-tracking systems. As a result:

  • working hours data can be pulled automatically,
  • it is visible who worked on which project,
  • weekly hours can be verified,
  • ordered overtime can be managed,
  • compensatory time off (slips) can be handled.

Result: HR and managers work based on real, structured data.

What does the integrated leave and attendance management system offer?

Hungarian calendar management: The specifics of the Hungarian work calendar are handled by an external API, so public holidays and relocated working days are automatically integrated.

Leave and home office requests: Employees see their own balance on an intuitive interface and can submit leave or home office requests with a few clicks. The system immediately signals if the request exceeds the quota.

Approval: The direct manager receives an instant notification and can approve the request with a single button press, which immediately updates the central calendar.

Timesheet generation: The system can be integrated with existing time-tracking and project-tracking solutions, allowing timesheets to be generated automatically based on real data. In addition to recorded work hours, it takes into account leaves, sick leaves, public holidays, relocated working days, and other absences – ensuring accurate and consistent accounting for payroll.

Outlook calendar integration: Approved leave is automatically added to the central Outlook calendar; thanks to two-way synchronization, it is also removed from there if cancelled. This makes absences transparent at the team level.

Integrations: Upon request, the system can be integrated with the payroll platform in addition to the time-tracking and project management systems.
The system does not replace HR, but significantly reduces the administrative burden and establishes management control. This allows the team to focus on real value creation (e.g., employee development and organizational culture).
